We strongly advise that you never delete a user from FocalPoint, as this can corrupt transactions the user created, approved or posted. Instead, create a security profile called 'Leavers' (or similar) and move all departed users into it. It does not need any permissions as no one will log into these accounts. To set up a new profile:
Log into FocalPoint Administrator.
Browse to System Control, Security Profiles.
Click **Insert**.
Give the profile a code and a name - we suggest "Leavers" but this can be anything you wish.
Click OK to save.
To move users into the profile:
Log into FocalPoint Administrator.
Browse to System Control, Security Profiles.
Select the new profile you created and click **Members**.
Find the user you want to move in the list on the right and select them.
Click Add.
Review the tabs on the user record (such as the custom tab), as if you have any settings that will cause the user to appear in approval lists, you will need to remove them as the system will not do this for you.
Click OK to save.
In addition to the above, you will also need to disable the user. This ensures that no one can log into their account and also stops them from using up one of your licences.
Please just be aware that if you disable a user and then move them into a profile, this will enable them again - so always disable them last of all.
Log into FocalPoint Administrator.
Browse to System Control, Users.
Click the **Edit** icon (hand holding a question mark).
Find the user who has left and clear the **Enabled** checkbox.
Click the green tick icon to save the changes.
