Out of Office delegation alert

The Out of Office delegation alert is an email notification sent to a delegate when someone switches on their Out of Office setting and a transaction is routed to them. The alert is set up in the same way as alerts on any other transaction type. Find it at System Options > Global Options > Out of Office Options, then on the Alert tab. The following fields are available:

  1. Email Subject: The subject line of the email. This is a generic alert sent every time someone switches on Out of Office and sets a delegate.

  2. Email Body: The main content of the email.

  3. Available fields: These fields are built in to FocalPoint and can be inserted into either the subject or body of the email. The email is always sent to the delegate. These fields control the content of the email, not who it is sent to or from:

    • Initiator: The user who is setting the Out of Office.

    • Approver: The delegate who will be approving on their behalf.

    • RecordName: The type of approval that has been delegated (for example Purchase Request, Invoice Register). Record names correspond to the record types available when the delegation is set.

The available fields cannot be changed. Unlike approval alerts in other areas of FocalPoint, Out of Office alerts only capture three things: who is going out of office, who is approving in their absence, and what type of records are being delegated.
