Setting user permissions for Workflow Forms

Depending on the version of FocalPoint you have, there are two different methods of setting the access to the forms for multiple users at once:

FocalPoint Administrator 5.2 and below

Prior to FocalPoint 5.3 you will be able to set the permissions en masse for the workflow forms within FocalPoint Administrator:

  1. Log into FocalPoint Administrator

  2. Select System Options, Workflow Forms, Workflow Forms Setup

  3. Select the relevant Workflow Form in the list

  4. Select Usage

  5. Set the relevant options against the user in question

  6. Select OK

Note: You can also use the Workflow Forms designer application as outlined below

FocalPoint Administrator 5.3 and above

Note that with FocalPoint version 5.3 and above, the permissions can only be set for multiple users at once via WorkFlow Forms Designer:

  1. Log into the Workflow Forms Designer application

  2. Select the relevant Workflow Form in the list

  3. Select Permissions

  4. Set the relevant options against the user in question

  5. Select Save

Please note that you should then ask the user to log out of FocalPoint and back in again to give them access to the relevant form.

If you do not have access to WorkFlow Form Designer and only need to change the permissions for one or two users, you can also do this through FocalPoint Administrator regardless of version:

  1. Log in to FocalPoint Administrator

  2. Browse to System Control, Security Profiles

  3. Highlight the profile of the user you want to make changes to and click Members

  4. Highlight the relevant user in the list on the left and then click the Usage button below

  5. Change the dropdown at the top of this window to Workflow Forms (sometimes this is Custom Forms instead) You should then see all of the available forms in the list and can give the user access as needed

  6. Once you are happy with the changes, click OK to save
