Giving users access to FocalPoint Administrator and Workflow Forms now that we log in through Access Evo

All users have the potential to access FocalPoint Administrator and Workflow Forms Designer, you just need to have granted them access through Access Evo Roles to see the applications in the 9 dot menu and ensured they are in a FocalPoint profile which gives them access to Workflow Forms Designer and the relevant menus in Administrator.

Therefore all you need to do, is to set up a new user as normal through Access Evo, then give them access to the FocalPoint Administrator and Workflow Form Designer roles, in addition to the FocalPoint SaaS role which would always be granted. Then finally, you will need to make sure they are in a FocalPoint profile that has the correct permissions.

If you are placing them into the same profile as other users who can already access Workflow Forms and access the required parts of FocalPoint Administrator, then you shouldn't need to make any changes at all. However, if they will be in a different profile to the other administrators, then you will need to set the permissions as follows:

To ensure the profile allows the users to log on to Workflow Form Designer:

  1. Log in to FocalPoint Administrator as an existing admin user

  2. Browse to System Control, Security Profiles

  3. Highlight the profile that the user is in and click Edit

  4. On the General tab, ensure that Allow Workflow Forms Designer Logon is ticked

  5. Click OK to save any changes

To ensure that the profile has access to the required menus in Administrator:

  1. Log in to FocalPoint Administrator as an existing admin user

  2. Browse to System Control, Security Profiles

  3. Highlight the profile that the user is in and click Edit

  4. Click onto the Security tab

  5. The options for FocalPoint Administrator itself are in the folders Records, Dimensions, System Options and System Control - each of which corresponds to a menu in Administrator itself. Under each of these is a range of options, which you can set accordingly for the profile

  6. Once finished, click OK to save any changes


Please do be aware that any changes to a profile will affect all users within it, however unless they are granted the roles to those applications, they will not be able to access either Workflow Forms or FocalPoint Administrator.
