Create a user in FocalPoint

Before creating a new user, check whether the user already exists in Dimensions (or Supply Chain, if that is your system).

The following steps create a new user and also create the corresponding Dimensions (or Supply Chain) user. You must have access to the FocalPoint Administrator application to do this. If your users are Windows authenticated, confirm with your IT team that an Active Directory account has been created and that you have the domain name and username ready. To check whether users in your system are Windows authenticated, click System > User Records in Dimensions. Click any user and look for the Windows Authentication checkbox at the bottom of the screen. 📌 Note: Only User ID, User Name, Resource Code, and Security Profile are required. Everything else can be left blank and added later.

  1. Log in to FocalPoint Administrator.

  2. Click System Control > Utilities > User Creation Wizard.

  3. The next step will depend on whether your users are Windows Authenticated:

    • If your users are Windows Authenticated, select the Windows Authentication button

      • Enter the relevant Domain name

      • Enter a User ID for the user (maximum 4 characters and cannot be changed)

      • Populate User Name with the Windows Account user name

    • If your users are not Windows Authenticated

      • Enter a User ID for the user (maximum 4 characters and cannot be changed)

      • Enter a User Name for the user (cannot be changed)

    • If you are hosted by Access

      • The Windows Authentication box is ticked and greyed out by default, and the Domain box is pre-filled with CLOUD.

      • Enter a User ID for the user (maximum 4 characters and cannot be changed)

      • Enter a User Name for the user - this will then be automatically prefixed with your DMXXX number (cannot be changed)

  4. Enter any address information (optional), then click Next.

  5. On the Resource tab, the system suggests a resource code based on the User ID. Change it if needed. A resource code is required to log in.

  6. Enter any sort keys or user fields (optional — these relate to the Dimensions or Supply Chain resource record), then click Next.

  7. This step creates a Supplier record in Dimensions or Supply Chain for use with Expenses. Change the supplier code if needed, use an existing one, or leave blank if not required. Click Next.

  8. Create or assign a supplier code for Credit Card expenses. Use the same details as the previous step to link to the same supplier, or leave blank if not required. Click Next.

  9. Create or assign a supplier code for Cash Advance expenses. Use the same supplier as previous steps or leave blank if not required. Click Next.

    • 📌 Note: To use a single supplier account, enter the same supplier details on all three supplier screens.

  10. Select a FocalPoint Security Profile for the user. Optionally enter project and department leader details (these can be added later). Click Next.

  11. Enter credit card details and, if not using Windows Authentication, set a password in the .Net password field. Other fields are optional. Click Next.

  12. Enter absence and holiday allowance details if required. Click Next.

  13. Enter any timesheet settings if required. Click Next.

  14. Enter any expenses settings if required. Click Next.

  15. Enter any additional configuration if required. Click Next.

  16. Enter any information for the Custom tab if required. Click Next.

  17. Set any Absence types the user needs access to if required. Click Next.

  18. Pages 14–16 cover web preferences. Leave as default unless specific changes are required. Click Next after each page.

  19. On page 16, click Finish.

The user record is now created. The only fields required to set up a user are:

  • User ID and User Name

  • Resource Code

  • FocalPoint Security Profile

However, please bear in mind that if the user record requires additional settings, such as Supplier links for Expenses, access to Absence types, specific settings for the custom tab etc, you will need to add these to your member record after creation.
