Dealing with a user leaving the company. Can I delete the user?

We strongly advise that you never delete a user from FocalPoint as it can cause transactions that the user created, approved or posted to corrupt.

Instead, we advise that you create a new security profile called "Leavers" (or something similar) and put all users who have left the company into that profile. It doesn't need to have any permissions as no one will be logging into these accounts.

To set up a new profile:

  1. Log into FocalPoint Administrator.

  2. Browse to System Control, Security Profiles.

  3. Click on Insert.

  4. Give the profile a code and a name - we suggest "Leavers" but this can be anything you wish.

  5. Click OK to save.

To move users into the profile:

  1. Log into FocalPoint Administrator.

  2. Browse to System Control, Security Profiles.

  3. Highlight the new profile you created and click Members.

  4. Find the user you wish to move in the list on the right hand side and highlight them.

  5. Click Add.

  6. Review the tabs on the user record (such as the custom tab), as if you have any settings that will cause the user to appear in approval lists, you will need to remove them as the system will not do this for you.

  7. Click OK to save.

In addition to the above, you will also need to disable the user. This ensures that no one can log into their account and also stops them from using up one of your licences.


Please just be aware that if you disable a user and then move them into a profile, this will enable them again - so always disable them last of all.

  1. Log into FocalPoint Administrator.

  2. Browse to System Control, Users.

  3. Click on the Edit icon (hand holding a question mark).

  4. Find the user who has left and untick the Enabled column.

  5. Click the green tick icon to save the changes.
